Live Meeting Frequently Asked Questions

Web Conferencing platforms rely on the Internet to broadcast real-time information such as image and voice from Presenter(s) to attendees.

Register for an Online Meeting/Webinar

1. Click the registration link provided on the Live Meeting web page or in your registration invitation email.

2. Complete the registration form.

What should happen after I register for a Live Meeting?

You will receive an email from gotowebinar@citrixonline.com confirming your registration for the Webinar, along with the option to
add the Webinar information to your Outlook® Calendar upon our organizer's approval.

Joining a Webinar

1. At the time of the Webinar, open the Webinar confirmation email or Outlook appointment.

2. Click the Join Webinar link provided in the confirmation email or Outlook appointment.

3. If prompted, click Yes, Grant or Trust to accept the download.

4. If requested, enter the Webinar password provided in your registration invitation email or on the Live Meeting web page.

5. Join the audio portion of the Webinar. Audio information is provided in the Audio pane of your Control Panel, in the Webinar confirmation email and in the Outlook appointment.

Audio Options

Your choice of audio mode is provided in the Audio pane of your Control Panel. By default, you will be joined into the Webinar muted. You will join the Webinar via VoIP. You will need speakers to listen to the Webinar. You can type in questions using the Chat window. If you have a microphone for your computer, you can also ask a question by raising your hand. Larry will then unmute your audio and you can speak using your microphone.

VoIP Best Practices

If you join the Webinar using VoIP, please note that audio quality can vary based on your audio software/hardware manufacturer as well as your operating system. When using VoIP, the following best practices are recommended:

• For optimum sound quality, a headset is recommended, preferably a USB headset.

• If a headset is not available, speakers are required to listen to the Webinar and a USB microphone to speak (if the organizer gives you speaking rights).

• If using a microphone, it should be at least 1.5 feet away from any speakers built in or connected to your PC.

• The use of a Webcam microphone is not recommended.

• If you are unmuted by the organizer, you may need to turn the volume down on your speakers to avoid echo.

What equipment do I need?

A computer, an internet connection (ADSL or cable or some high speed connection), and computer speakers or headset. You internet connection is important. Wireless or satelite and dial up are not always suitable for online meetings. Dial up is too slow. Wireless and satelite tend to lose packets of information intermittently, similar to cell phone calls. I'm sure you have experienced times on your cell phone when a call gets dropped or you aren't able to hear every word someone is saying. The communication breaks up. With satelite and wireless you may experience excessive lag times, dropped connections, and audio distruptions - not always, but you may. Wireless systems are getting better though as technology improves.

What should an attendee do if he or she cannot join a meeting?

It is important that you attempt to join the live meeting at least 10 minutes before the start time. That way if you do have an issue, we have time to help. Once Larry begins his meeting it is very difficult for us to assist you should you experience any difficulties.

What affects the performance of the Host's presentation and the attendees' viewing?

Some of the factors that affect performance are the following: 

The speed of your computer's connection to the internet as well as the Host's internet connection.
The performance of your Internet service provider and the Host's provider.
Overall Internet traffic on the host's and your routed connection to the omNovia server. 
Performance of firewall and proxy servers, if your computer is behind a company firewall.

What can an attendee do to lessen image and voice lag?

Ensure the CPU usage is normal.

Attendees might have a large number of applications running simultaneously that can
use a large amount of CPU.

Download speed is acceptable

Contrary to Presenters, attendees require a high download speed in their Internet
connections. Modem and Satellite connections are not recommended or even
supported by web conference systems. Even with a cable or ADSL connection, there
could be, at least temporarily, a reduction in bandwidth level. Once again the required
bandwidth depends on what is being broadcast in the conference. A minimum of 80
kb/second is required for the omNovia Web Conference most of the time.

There is “consistent” bandwidth

Certain types of connections are more prompt to bandwidth fluctuations. If you use
the Internet for web sites browsing purposes only, you might rarely notice any
difference if your bandwidth fluctuates. For instance, if your bandwidth all of a
sudden drops, then regains after 0.5 second while you are going from page 1 to page 2
of a web site, it would take 0.5 second longer to load the new page which is not a
problem if it happens rarely and remains unnoticed. However web conference with
real-time voice and image transmission requires continuity in bandwidth. Using the
example above, if the bandwidth drops for 0.5 second, it would immediately create a
break-up or at least a lag if a buffer time is being used.

Dial-up and Satellite connections produce many bandwidth fluctuations. All types of
wireless (including wifi) connections are also susceptible to more fluctuations depending
on the environment. That is why it is recommended to use wired connections.

There is no competition for bandwidth

Different applications on the attendee computer may require each a high amount of
bandwidth. If these applications compete for bandwidth, naturally one will not get the
required amount and if it is the web conferencing platform, lag is observed. As an
example if the end-user is running the omNovia Web Conference needing 60 kbps at
the same time as a stock market charting application requiring 80 kbps while having
an Internet connection with a bandwidth of 100 kbps, obviously problems occur since
there needs to have 80 + 60 = 140 kbps for normal functioning. As an analogy think
of a house with limited water coming in while 2 showers are running.
